How To: Send a Broadcast Message

Learn how to create and send a facility-wide Broadcast message, attach documents, and review delivery details before sending.

The Broadcast feature allows you to send facility-wide updates, announcements, and documents to selected contact groups. You can include custom messages, upload files, add education from the Library, preview the message, and confirm recipients before sending.


Main Points

Accessing New Broadcast

To create a new Broadcast:

  1. Click the Communication dropdown in the left navigation.

  2. Select Broadcast.

  3. Click New Broadcast Message on the right side of the screen.

You can also:

  • Click the plus icon from the Dashboard to start a new Broadcast.


When to Use a Broadcast

Broadcast messages are helpful for:

  • Facility-wide updates

  • Policy changes

  • Outbreak notifications

  • Operational updates such as construction

  • Special event announcements

  • General reminders or follow-up communication


Step 1: Enter Broadcast Details

  1. Enter a Title for your Broadcast.

  2. Select the recipient group from the dropdown menu.

    • Hover over a group to see which contact titles are included.

  3. Upload your own files if needed.

    • For example, policy documents or internal PDFs.

  4. Add a custom message to explain why recipients are receiving this information.

  5. Click Next.


Step 2: Add Library Documents

You can enhance your Broadcast by including education from the Library.

To add documents:

  • Scroll through available documents and videos

  • Or use the Search bar to find specific topics

Select the documents you want to include and click Next.


Step 3: Preview the Broadcast

You will see a preview of the Broadcast exactly as the recipient will receive it.

The preview includes:

  • Your introductory message

  • Attached documents

  • Selected Library education

If changes are needed, click Back to edit.
If everything looks correct, click Next.


Step 4: Review Recipients and Delivery Method

You will see a detailed list of recipients, including:

  • Resident name

  • Date of birth

  • Admission date

  • Contact receiving the message

  • Relationship or role

  • Delivery method

Delivery methods may include:

  • SMS text message

  • Email

If both are available, both will be shown.

You can:

  • Remove an individual from the Broadcast before sending

  • Scroll through the full recipient list


Understanding Red Rows and Contact Issues

Red rows indicate delivery issues.

Examples include:

  • No email or phone number on file

  • Phone number cannot receive text messages, such as a landline

It is recommended to remove these recipients before sending.

You can then review the Contacts tab to audit and update information in PointClickCare.


Step 5: Send the Broadcast

When ready:

  1. Click Send.

The Broadcast will immediately be delivered to all listed recipients.


Reviewing a Sent Broadcast

After sending, return to the Broadcast tab to view:

  • Date sent

  • Delivered vs undelivered count

  • Total recipients

  • Status

You can also:

  • View delivered recipients

  • View undelivered recipients

This helps you monitor communication performance and identify follow-up needs.
